Create or modify an extension?


To assign an extension to a Phone:

  1. Log in to the secure web portal with an Administrator login
  2. Click on the "Phone Numbers" section
  3. Phones that do not already have an extension assigned will have an "Add" link in the Ext(ension) column. Click the Add link.
  4. Type the extension number you want to assign into the "Extension" field. The other fields will be populated automatically; you may review and adjust the other fields if necessary. See the bottom of this FAQ for details on the individual fields.
  5. Click the "Add Extension" button to assign the extension.


To create an extension for any other phone number (including voicemail boxes, external phone numbers, or any other internal phone number):

  1. Log in to the secure web portal with an Administrator login
  2. Click on "Extensions" in the Site Administrator section
  3. Click the "Add Extension" button at the top of the page to create a new extension. Extensions can point at any number internal or external to the system for convenient dialing from any on-system phone.
  4. Fill out the Add Extension form and click "Submit" to add the new extension. See the bottom of this FAQ for details on the individual fields.


To modify an existing extension:

  1. Log in to the secure web portal with an Administrator login
  2. Click on "Extensions" in the Site Administrator section
  3. Click the extension number you wish to modify in the "Extension" column.
  4. Update fields as needed. See the bottom of this FAQ for details on the individual fields. If you need to change the extension number delete the existing extension (see below) and add the new extension number. All other fields may be updated.
  5. Click "Submit" to update the extension.


To delete an extension:

  1. Log in to the secure web portal with an Administrator login
  2. Click on "Extensions" in the Site Administrator section
  3. Click "Delete" next to the extension you want to remove
  4. Confirm the deletion by clicking "OK" in the confirmation dialog


Notes on individual fields:

Extension - The extension is the shortcut, or numbers you dial, to access the extension

Map to Phone Number: - This is the phone number that is actually called when dialing this extension from within Virtual Office.

Name/Description - The Name or Description the extension is associated with. For internal extensions this description should match the person's phone the extension is assocaited with. For external numbers it should be a description of who this extension calls.

Department (if applicable) - The department this extension is associated with. All extensions may be dialed from any Virtual Office phone; the department field is simply for organizing the extension for management purposes.

Include in Auto Attendants - this field, if enabled, makes the extension dialable in all VTree menus which have the 'Auto Attendant' feature explicitly enabled.

Dial by name - this value is auto-populated when you type the Name/Description, and is used in any VTree Dial-by-Name nodes to determine how this extension is matched when using the dial-by-name feature.
